Activating a Product Network License

Our software is licensed as a Node-Locked Workstation License, Floating Network License, or Cloud License.

To get a Floating Network License to work within a local area network (LAN) environment, a Network License Server needs to be installed on a computer within the network. The Network License Server runs as a Windows service on the computer it is installed on.

The computer that the Network License Server is installed on can be any kind of computer (i.e., workstation or server), but must be assigned a static IP address in order for the software to find the Network License Server. The video link below describes how to assign a static IP address.

Floating Network License

This type of license has the Network License Server hosted on a local area network (LAN) environment that manages the Floating Network License. The computer on which the Network License Server is installed can be any kind of computer (i.e., workstation or server), but must be assigned a static IP address for the CivilGEO software application to find the Network License Server.

The Floating Network License version of software can be used by multiple users as long as they are connected to the network on which the Network License Server is running.

The Floating Network License can be accessed over a WAN (Wide Area Network) containing multiple subnets. The network firewall settings may need to be adjusted to allow port communication with the Network License Server.

The Floating Network License version of software also allows the user to check-out a license from the network license pool to use with any computer independent of the Network License Server. This allows the user to operate the software on a laptop at home over the weekend, on-site, etc.

CivilGEO Customer Portal

All versions of the software license give you access to the CivilGEO Customer Portal, which is an easy-to-use, web-based portal that gives you complete access to your account information and the ability to view Entitlements, Activation IDs, download the latest version, and view product usage.

Click here to access the CivilGEO Customer Portal through your Internet browser.

Overview of Licensing

There are three key steps in the CivilGEO licensing process:

  1. Receive Entitlement Certificate
  2. Software Installation
  3. Software License Activation

Receiving Entitlement Certificate

The Entitlement Certificate represents proof of a software license that includes a description of the product, the Activation ID, and the license duration. The Entitlement Certificate is always provided in the form of an email and should be kept secure.

This certificate authorizes you to activate the software product(s) you have purchased from CivilGEO. Rights and restrictions on the use of these product(s) are set forth in the CivilGEO License Agreement.

Software Installation

The latest release of the software can be downloaded either from the CivilGEO Customer Portal or from the already installed software’s Check for Updates section.

Click here in CivilGEO’s Knowledge Base to read how to download the latest software release.

Software License Activation

The Activation ID will be required to activate the Node-Locked Workstation and Floating Network License software products. The Cloud Server ID will be used to activate the Cloud License software products.

The Activation ID and the Cloud Server ID are transmitted via email. In the event the email containing the Activation ID or Cloud Server ID is misplaced, the IDs can be retrieved by logging into the CivilGEO Customer Portal.

Check-out and Check-in Licensing

The LAN-Based Floating Network License and the Cloud-Based Floating Network License versions of the software allow the user to check-out a license from the network license pool for use on a computer that is not connected to the Network License Server. This allows the user to run the software on a laptop while working from home, at a project site, while traveling, or in other locations where access to the Network License Server may not be available.

The user can specify the number of days for which the license will be checked-out from the network license pool. When the specified check-out period expires, the license is automatically returned to the network license pool by the Network License Server. There is no need to check the license back into the network license pool.

A license can be checked out for a minimum of 1 day (24 hours) and a maximum of 30 days. A checked-out license can also be checked-in back to the network license pool before the specified time period expires. However, the check-out time period for an existing checked-out license cannot be extended. To extend the time period, the user must first check the license back into the network license pool and then check it out again for the required duration.

Note: License check-out functionality is not available with the Node-Locked Workstation License.

This article describes how to check-out and check-in a license from the network license pool (either LAN-Based Floating Network License or Cloud-Based Floating Network License).

License Management

Network License Management

This article describes how LAN-Based Floating Network Licenses work and how to manage the licenses in a network environment.

What is the difference between Stand-Alone and LAN-Based Floating Network Licensing?

For a stand-alone software license, a license needs to be installed on each computer workstation that the software is to run on. With a LAN-Based Floating Network License, a pool of licenses is available on a server for use by any computer workstation on the network. The number of network licenses available can correspond to the maximum number of simultaneous users expected, and not for each computer workstation where the software is to be installed. The major advantage of a Floating Network License is that any computer on the network can run the software—it is not “locked down” to an individual computer workstation. This enables more efficient work among the office staff since individual users can access the license whenever they need it. Additionally, the software licensing is installed and activated only on the license server and not on the individual computer workstations. This allows computer workstations to be changed or upgraded more easily, without having to worry about uninstalling and reinstalling software licenses when changes occur.

What are the requirements to use LAN-Based Floating Network Licenses?

LAN-Based Floating Network licenses require the Network License Server software to be installed on a Windows computer. The computer that the Network License Server is installed on can be any kind of computer (i.e., workstation or server), but must be assigned a static IP address for the CivilGEO software application to find the Network License Server. Although the Network License Server software does not require a powerful computer, it is necessary that the computer hosting the Network License Server be running and available on the TCP/IP network in which other computer workstations will be used to access it.

The LAN-Based Floating Network License can be accessed over a WAN (Wide Area Network) containing multiple subnets. The network firewall settings may need to be adjusted to allow port communication with the Network License Server. This can be checked using a ping test with the client workstation and the computer in which the Network License Server is installed on.

How does the Network License Server work?

The LAN-Based Floating Network Licenses are made available using the Network License Server software. This software is different than the product software. The product software, such as GeoHECRAS, is configured to contact the Network License Server at startup to request a license from the network license pool.

A LAN-Based Floating Network License allows the product software to be used on any computer workstation that can contact the Network License Server. A one-seat Floating Network License would allow the product software to be used by one user at a time. Similarly, a two-seat Floating Network License would allow the product software to be used by two users at the same time. Users sharing a Floating Network License can work on different computers, with the maximum number of simultaneous users being the number of network licenses (or “seats”) available.

When the user starts the product software, it requests a license from the Network License Server through the network. If a license is available, the Network License Server assigns a license to the computer workstation, and the number of available licenses in the network license pool is reduced by one.

When the user exits the product, the license returns to the network license pool. If the user runs multiple sessions of the same product on the same computer workstation, only one license is used. When the last product session is closed, the license is released back to the license pool.

Managing the Network License Server

Interacting with the Network License Server is performed using the CivilGEO License Server Configuration application. This application can be used to review the total available licenses, what licenses are currently in use, and other information.

Reviewing Available Network Licenses

This section describes how to determine the available network software licenses and which users (and their corresponding computers) have checked out a software license. Follow these steps:

  1. From the computer that the Network License Server installed on, click on the Windows Start button.
  2. From the Windows Start menu, launch the CivilGEO License Server Configuration application.
  3. The CivilGEO License Server Configuration application will start up.
    unknown node
  4. Select the Display Installed Network Licenses radio button and then click the [Next] button.
    unknown node
  5. The CivilGEO License Server Configuration application will display information about the total number of available software licenses and the software licenses that are currently in use.
    unknown node

The following sections describe the above dialog box in more detail.

Display Installed Network Licenses

This section displays the product name, the total number of available software licenses, the number of software licenses that are currently in use (checked out), and the subscription expiration date.

Licenses Currently in Use

This section displays which computer workstations the product is currently running on. It displays the product name, IP address, machine ID, and name of the corresponding computer using the product, along with the date and time the product was started and the validation date and time when the checked-out license will expire if the network connection to the computer fails. If there are no products currently in use, then this section will be empty.

The license validation date-time is used if the computer workstation gets disconnected from the network and cannot connect back to the License Server. The product issues a heartbeat back to the Network License Server to inform that it is still in use. However, if the product crashes or the computer workstation suddenly powers off, this feature allows the license to be recovered without requiring any interaction with the user or IT staff. After the license validation date-time expires, the license will automatically return to the network license pool.

Network License Management Img 4

Note: Since the CivilGEO License Server Configuration application fetches the computer workstation name from the DNS, it is necessary to scavenge the DNS (that is removing old and false entries) for displaying the computer name. If the DNS has old data, the utility will display an old, invalid computer name. Click here to learn more about DNS scavenging and how to refresh the DNS records.

Floating License Server Status

This section displays the status of the Network License Server, whether it is running or stopped, and the port number in which the Network License Server and the product communicate back and forth to each other.

The user can refresh the Network License Server status or stop the Network License Server by clicking the [Refresh] or [Stop] buttons, respectively.

If an incorrect port number is specified for either the Network License Server or the product, then the software license will not be able to be acquired across the network. If the specified port is blocked or disabled, this will cause the product on the computer workstation to fail because it cannot communicate with the Network License Server. To troubleshoot the issues while acquiring the floating network license, refer to this article in our knowledge base.

Network License Issues

Network Licensing Port Conflicts

The Network License Server is assigned port number 7081 by default to communicate with the software license requests from client computers on the network. However, there may be a situation where there is a port conflict with another software program that is using the same port number. In this situation, the Network License Server can be assigned a different port number to resolve this conflict.

Assigning a Different Port Number to the Network License Server

This section describes how to assign a different port number to the Network License Server.

Follow these steps:

  1. On the computer on which the Network License Server is installed, log in as an administrator (i.e., not a standard user).
  2. Click on the Windows Start button, then type File Explorer into the search box, and then press the [Enter] key.

    unknown node
  5. From within the text file, look for an entry that starts with PORT: with a number after it. This is the port number that the Network License Server is using to communicate with.
    unknown node
  6. Change the PORT number to 7079 or similar number that will not conflict with other software. Port numbers range from 0 to 65535, but port number 0 is reserved and cannot be used. In addition, port numbers less than 1024 were historically used by other software programs for communication with computer peripherals and should not be used.
    unknown node
  7. Save the changes and close the file.
  8. Note that you may need to adjust the computer and network firewall settings to allow communication on the specified port number.
  9. Launch the CivilGEO License Server Configuration application. The CivilGEO License Server Configuration application will start up.

Network License Server Connectivity Issues

This article describes how to troubleshoot situations when the software is unable to connect to the Network License Server.

Network License Server Connectivity Issues Img 1

If the software is unable to connect to the Network License Server and you are receiving the above error message, this may be caused by the following:

  1. The computer on which the Network License Server is installed is not running.
  2. The Network License Server is not running.
  3. There is a network connectivity issue.
  4. There is a firewall issue.

To fix this problem, try the following options:

  1. Click on the [Try Again] button.
    unknown node
  2. Check that the computer on which the Network License Server is installed is running.
  3. Check that the Network License Server is running. Refer to this article in our knowledge base to learn how to verify the Network License Server status.
  4. Make certain that the computer on which the Network License Server is installed has a static IP address. Refer to this article in our knowledge base to learn how to set a static IP address.
  5. Ping the computer that the Network License Server is installed on (see the section below).

How to Ping the Network License Server

The Ping command can be used to check the network connection to another computer, such as the computer on which the Network License Server is installed. The following video demonstrates how to use the Ping command.

unknown node

Follow these steps to ping the Network License Server:

  1. Display the Windows Run dialog box by pressing the Win + R keys (the Windows key and the “R” key at the same time) on the keyboard. This will display the Windows Run dialog box.
  2. Type Ping X and replace "X" with the actual static IP address of the computer on which the Network License Server is installed. For example, if you wanted to ping the IP address 10.91.4.156, you would type Ping 10.91.4.156.
    unknown node
  3. Check the response from the Ping command to make certain that the computer is responding properly.

Checking the Health Status of the Network License Server

The user can verify that the Network License Server is running and actively accepting connections by using the health check URL directly in a web browser. This URL returns a simple status response when the license server is running correctly.

The health check URL uses one of the following formats:

http://localhost:port_number/health

http://ip_address:port_number/health

Replace ip_address with the static IP address of the host computer and replace port_number with the port on which the license server is running. Refer to this article in our knowledge base to learn how to find the IP address and port number on which the Network License Server is running.

Examples:

http://localhost:7081/health

http://10.91.4.156:7081/health

To use the health check, open a web browser on either the host computer or a client computer and enter the appropriate URL into the browser address bar. If the license server is running and reachable, the browser will display a short status response confirming that the server is healthy, as shown below.

Network License Server Connectivity Issues Img 4

The health check response displays the following information:

  • The provider name of the license server.
  • The port number on which the license server is currently listening.
  • The version number of the installed Network License Server software.
  • The machine ID of the host computer on which the license server is installed.
  • The status of the license server. A value of Success confirms that the server is healthy and available.

If the health check status is Success but the connection issue still occurs, this may indicate a firewall issue. Refer to this article in our knowledge base on how to check the firewall connectivity issue.

If the page does not load or returns an error, the license server process may not be running, or the license server may not be accessible using the specified IP address and port number.

License Troubleshooting

Troubleshooting the Network License Server

To get a Floating Network License to work within a local area network (LAN) environment, you first need a computer within the network that can be used as a Network License Server. The Network License Server manages the check-out and check-in of floating network licenses on the network. The Network License Server runs as a Windows service on the computer that it is installed on.

Once the installation has successfully finished, the Network License Server will be automatically updated as Running within Microsoft Windows Services. Refer to this article in our knowledge base on how to verify the Network License Server status.

In some cases, even after successful installation, the Floating License Server Status is not updated as Running within Microsoft Windows Services. In this case, as shown below, the status of the License Server is shown as Stopped.

License Troubleshooting

Troubleshooting Floating Network License

This article will help to resolve many of the common issues that you might face while activating a LAN-Based Floating Network License.

Whitelisting Licensing Service URLs

You should make sure that your firewall, proxy server, antivirus software, or other security software is not blocking or quarantining communication with the licensing servers. You may need to add an exception or whitelist these URLs in your security software settings.

Contact your network administrator to whitelist the below IP addresses and URLs:

unknown node

If both IP addresses and URLs are already whitelisted and accessible, continue with the troubleshooting steps in the following sections.

Testing the Network License Server Connection

This section shows you how to test the connection to the Network License Server.

Follow these steps:

  1. Start up the software.
  2. From the File ribbon menu, select the About option. This will display the About backstage page.
    unknown node
  3. From the About backstage page, click the [License Manager] button.
    unknown node

Alternatively, click the Licensing Selector option at the title bar of the application window.
    unknown node
  4. The License Manager dialog box will be displayed.
    unknown node
  5. Choose the Activate LAN-based floating network license option. Click the [Next>] button.
    unknown node
  6. From the License Manager dialog box, make certain that the IP address and port of the Network License Server are properly entered. If the Server IP address has not yet been entered, see the section titled Determining the IP Address of Network License Server defined later in this knowledge base article. If the Port is not defined, check with your Network Administrator as this is defined in the Network License Server software. Then, click the [Test Connection] button.
    unknown node
  7. If the following message box is displayed, then the software found the Network License Server. If necessary, click the [Next>] button to activate the network license for the current computer. Otherwise, you can close this dialog box by clicking the [Cancel] button.
    unknown node
  8. If you get the following Validate Server Connection error in the License Manager dialog box, then try the solutions listed below or contact your network administrator.
    unknown node
  9. If the software displays the following error message, then try the solutions listed below or contact your network administrator.
    unknown node

Determining the IP Address of Network License Server

If the software cannot find the Network License Server, we need to determine the IP address of the computer that is running the Network License Server.

Follow these steps:

  1. From the computer on which the Network License Server is installed, click on the Windows Start button to display the Windows menu.
  2. Enter CMD in the search field and then press the [Enter] key. A command window will be displayed.
    unknown node
  3. Type IPCONFIG at the command prompt. The software will list out details on the current IP configuration for the computer. You may need to scroll up in the listed output. Look for the entry called IPv4 Address. Make a note of the listed IP address.
    unknown node
  4. Close the command window. You now know the IP address for the computer that runs the Network License Server.

Validating the Connection to Network License Server

We can confirm the network connection with the computer that we are trying to run the software from and the computer that runs the Network License Server.

Follow these steps:

  1. From the computer that you want to run the software from, click on the Windows Start button to display the Windows menu.
  2. Enter CMD in the search field and then press the [Enter] key. A command window will be displayed.
    unknown node
  3. Type PING and the IP address of the computer that the Network License Server is running from. Then, press the [Enter] key.
    unknown node
  4. Wait for the PING command to finish displaying the packet replies. If the command does not finish returning the packet replies, press Ctrl+C to stop the command.
  5. If the PING command failed to return packet replies, the current computer cannot see the computer on which the Network License Server is running. If some of the network packets were reported lost, that means the network connection between the two computers is unreliable, and data is being lost in the network traffic. If the PING command reports that the destination host is unreachable, it is possible that the two computers are not on the same local area network. Contact your network administrator to resolve this issue.

Checking the Network License Server

The next step is to check that the Network License Server is running and on what port it is listening.

To check that the Network License Server is running, follow these steps:

  1. From the computer on which the Network License Server is installed, click on the Windows Start button to display the Windows menu.
  2. Launch the CivilGEO License Server Configuration application.
  3. The CivilGEO License Server Configuration application will start up.
    unknown node
  4. Select the Display Installed Network Licenses option and then click the [Next>] button.
    unknown node
  5. You should see the Floating License Server Status as running on a specific port. Make note of this port.
    unknown node
  6. Click the [Close] button. You have confirmed that the Network License Server is running and the port on which it is listening. If you encounter a port conflict issue in which an application is listening for traffic on the same port that the Network License Server is using, refer to this article to resolve this issue.

Checking the Firewall Rules

After validating that you have specified the correct IP address and port in the Licensing Manager, it is likely that there is a firewall rule on the computer that is running the Network License Server that is blocking the port from listening.
unknown node

To check if the port is being blocked, follow these steps:

  1. From the computer that is running the Network License Server, click on the Windows Start button to display the Windows menu.
  2. Enter CMD in the search field and then press the [Enter] key. A command window will be displayed.
    unknown node
  3. Type NETSTAT -a -n and then press the [Enter] key.
    unknown node
  4. Review the entries listed from running this command. You may need to scroll up through the listings to find the port that the Network License Server is listening on.
  5. If you find that the associated port is blocked from listening, you can specify a change in the firewall rule as documented by this Microsoft Knowledge Base Article. Alternatively, watch the following video that thoroughly explains setting up and configuring the Windows Firewall.
